Activating SAP Joule in Your SAP Environment

A Step-by-Step Guide to Enabling SAP’s Generative AI Copilot Across SuccessFactors, S/4HANA Public Cloud, and More

SAP Joule is SAP’s generative AI copilot – a natural language interface embedded across the SAP Business Suite to help users get more done with less effort. Whether you’re an HR manager in SuccessFactors, a finance controller in S/4HANA, or a procurement specialist in Ariba, Joule is designed to simplify your day-to-day tasks through conversational AI.

But activating Joule isn’t as simple as flipping a switch. It requires the right subscriptions, the right BTP configuration, and a product-specific setup approach. In this blog, MSITEK walks you through everything you need to know to get Joule live in your SAP environment.

What Is SAP Joule?

Launched in September 2023, SAP Joule is SAP’s branded generative AI copilot, embedded natively into SAP’s cloud applications. Unlike traditional search or help tools, Joule understands business context – it can interpret natural language queries, pull data from across your SAP landscape, and take actions on your behalf.

Joule is not a standalone product. It is a layer of AI intelligence that lives inside the applications you already use. Over time, SAP has expanded Joule across:

• SAP SuccessFactors (HR & Workforce Management)
• SAP S/4HANA Cloud Public Edition
• SAP S/4HANA Cloud Private Edition
• SAP Ariba & SAP Concur
• SAP Build Work Zone
• SAP Sales Cloud and SAP Mobile Start

Prerequisites: What You Need Before You Start

Regardless of which SAP product you are activating Joule in, there are universal prerequisites that apply:

• An SAP BTP Enterprise Global Account – Joule is an SAP BTP-based application and relies on BTP services.
• A Joule subscription (Digital Assistant Service) – obtained via your SAP Account Executive. One Joule subscription maps to one product tenant.
• SAP Cloud Identity Services (IAS) – All SAP products integrated with Joule must use the same IAS tenant, and users must share a consistent Global User ID across all connected systems.
• SAP Build Work Zone, Standard Edition – Required as the launchpad framework that hosts the Joule interface for most integrations.
• Compatible data center – Joule and your SAP products must reside in a supported SAP data center region.

Important: One Joule subscription can be used across multiple SAP products, but it can only connect to one tenant per product. You cannot link multiple S/4HANA tenants to a single Joule instance.

Activating Joule in SAP SuccessFactors

SAP SuccessFactors was the first product to receive Joule integration. It is the most mature and smoothest activation path.

Step 1 – Verify Your SuccessFactors Provisioning Settings

Confirm that your SuccessFactors instance is running on the latest release and that AI features are enabled at the provisioning level. You will need admin access to the Provisioning and Admin Center.

Step 2 – Configure Identity Authentication Service (IAS)

Joule leverages the IAS setup of SuccessFactors for user login. Ensure your SuccessFactors instance is connected to the same IAS tenant you will use for your BTP subaccount. Set up Identity Provisioning Service (IPS) to sync user identities.

Step 3 – Set Up Your BTP Subaccount for Joule

In your SAP BTP cockpit, create a subaccount in Cloud Foundry (CF) environment. Assign the Joule entitlement (Digital Assistant Service plan) and the SAP Build Work Zone, Standard Edition entitlement. Enable the Cloud Foundry space and subscribe to the required services.

Step 4 – Subscribe to SAP Build Work Zone

Subscribe to SAP Build Work Zone, Standard Edition in your BTP subaccount. When configuring for SuccessFactors, use the standard plan (not the foundation plan). Configure the required destinations between SuccessFactors and Build Work Zone.

Step 5 – Enable Joule Plug-In in Target Mapping

In the Fiori Launchpad configuration of Build Work Zone, configure and activate the Joule plug-in. Set up the navigation service to allow Joule to launch SuccessFactors app tiles and provide contextual guidance.

Step 6 – Assign Roles and Test

Assign the appropriate roles to users and test Joule in your SuccessFactors interface. Common SuccessFactors Joule skills include employee record lookups, performance review summarization, policy Q&A, and onboarding guidance.

MSITEK Tip: Start with a small user group for initial testing. Joule in SuccessFactors is well-suited for HR teams to test first – queries like ‘What is my remaining leave balance?’ or ‘Summarize last quarter’s performance for my team’ are excellent starting points.

Activating Joule in SAP S/4HANA Cloud Public Edition

Joule became generally available in SAP S/4HANA Cloud Public Edition with the November 2024 release, following an early adoption period. The setup for Public Cloud shares some steps with SuccessFactors but has specific configurations unique to ERP.

Step 1 – Confirm Your Joule Entitlement and BTP Account

Your Joule subscription (Digital Assistant Service plan) must be assigned in your BTP Global Account. If your organization has multiple BTP Global Accounts, select the one designated as the common account for Joule projects. Contact your SAP Account Executive to confirm the right entitlement plan – SAP updated the Joule Booster in early 2025, introducing two plans (DAS Standard and DAS Premium).

Step 2 – Create and Configure the BTP Subaccount

Create a new Cloud Foundry-enabled subaccount in your BTP Global Account. Add the Joule (Digital Assistant Service) entitlement and the SAP Build Work Zone, Standard Edition entitlement with three specific service plans: standard, standard (Application), and the SAPLaunchpad plan.

Step 3 – Register Your S/4HANA Public Cloud System

In the BTP cockpit, use the System Landscape tool to register your SAP S/4HANA Cloud Public Edition system. This step establishes the trusted communication channel between your ERP system and BTP. You’ll need administrator access to your S/4HANA tenant to complete the registration handshake.

Step 4 – Expose the Fiori Launchpad Content to SAP BTP

In your S/4HANA Public Edition tenant, expose your SAP Fiori Launchpad content to SAP BTP. This makes app tiles and navigation targets available for Joule to reference when guiding users. Add your Public Cloud tenant’s URL to the Trusted Domains list in the BTP sub account.

Step 5 – Configure Identity Provisioning Service

Ensure that users from your S/4HANA system are synchronized into the shared IAS tenant. This is critical – Joule actions execute as the authenticated user in the backend system, respecting all existing S/4HANA authorization and role restrictions.

Step 6 – Maintain Custom Content Security Policy

S/4HANA Public Edition requires specific Content Security Policy (CSP) settings to allow Joule’s interface to render correctly within the Fiori launchpad. Update the CSP allowlist in your S/4HANA administrator settings.

Step 7 – Activate Joule in the Fiori Launchpad

Once configurations are in place, activate the Joule plugin in your Build Work Zone / Fiori Launchpad configuration. Run the Joule Booster in your BTP subaccount to automate the remaining technical setup steps. For setups completed after October 13, 2025, navigation service destinations are handled automatically by the Booster.

Step 8 – Test with S/4HANA-Specific Use Cases

Validate with common S/4HANA Joule skills, such as: searching for open sales orders, checking inventory levels, creating purchase requisitions via natural language, and retrieving financial KPIs. Test both informational queries (asking for data) and transactional queries (triggering actions).

Activating Joule in SAP S/4HANA Cloud Private Edition

SAP S/4HANA Cloud Private Edition (PCE) has a more complex Joule setup due to the dedicated, customer-specific infrastructure involved. SAP recommends following a dedicated workshop approach for PCE activations.

Key Differences from Public Cloud Setup

• Private Edition requires setting up S/4HANA PCE as a Content Provider in BTP.
• You must configure specific destinations in your Joule subscriber subaccount.
• Joule communicates with other SAP solutions (SuccessFactors, Supply Chain, CX) from within your PCE landscape – so the BTP Global Account used for Joule should be the common account across all your SAP solutions.
• The sizing of your BW/4HANA PCE environment (if applicable) affects your BDC and analytics connectivity options.

High-Level Activation Steps

• Configure your SAP BTP environment and Joule entitlement (same as Public Cloud).
• Set up S/4HANA PCE as a Content Provider – expose Fiori Launchpad content from the private environment to BTP.
• Configure destinations in the Joule subscriber subaccount pointing to your PCE system.
• Set up Identity Provisioning between PCE and the shared IAS tenant.
• Activate the Joule plug-in in the target mapping of your Build Work Zone site.
• Run the Joule Booster and validate with your SAP account team.

Key Considerations Across All Products

Security and Authorization

Joule respects the underlying authorization model of each SAP product. Actions executed through Joule run as the authenticated user, subject to all existing role-based access controls. Ensure BTP identity propagation is correctly configured before enabling Joule to avoid unauthorized data access.

Phased Rollout is Best Practice

SAP’s own CAIO recommends a phased approach: start with one product (SuccessFactors is ideal), validate the experience, then expand to ERP and supply chain. Each new system added makes Joule more powerful and useful for more employees.

Custom Skills with Joule Studio

Beyond SAP’s pre-built skills, organizations can build custom Joule capabilities using Joule Studio – a low-code/no-code environment for creating custom AI agents. This allows you to extend Joule to third-party systems (ServiceNow, Salesforce) or build industry-specific workflows not covered by standard SAP skills.

Licensing and AI Units

Embedded AI features in Joule are included with the base subscription for most cloud products. However, advanced AI scenarios (such as automated multi-step agents) may require AI Units. Confirm consumption-based pricing with your SAP Account Executive.
